CHAPTER ONE

INTRODUCTION

• INTRODUCTION

The benefit of computerize system in today’s world cannot be overemphasized. It has revolutionized the way almost everything in this world today is done. One major area that has benefited immensely from computerization especially the web based applications is the educational sector. It is used as a teaching aid, it serves a lot of informational and documentation purpose one of which is the screening and registration of student.

This study focuses on the design and implementation of improved web based real time admission screening system.

This chapter will cover critical aspects of this study, such as; background and motivation of the study, statement of problems, aim and objectives, scope of the study, significance of the study, limitation of the study and definition of technical terms.

• BACKGROUND OF THE STUDY:

Federal polytechnic Nekede is a federal government owned higher institution located in Nekede, Owerri West local government area of Imo state. It was established on a temporary site at the premise of government college of education Owerri, before it was moved to its current location on Nekede on 7^th April 1993, the polytechnic was change to federal institution and was renamed the federal polytechnic Nekede. Since its inception the method used in screening and registration process is manual, stressful and full of errors. The student will have to visit the screening office and present all his document to the screening officer in charge, the screening officer will go through all the document presented to him by the student and ensure they are valid and also ensure the student has made all the necessary payment, after going through the file, the student will been given a file which he will used to document all his data,  the student takes the file home and fill it with all the needed information and also make a duplicate of all his credentials, after which he will go back to the screening officer to submit the file. The screening officer will have to go through the file and credential to ensure all document in the file are properly filled and all credentials are correct before he can issue a registration number to the student.

Most times the file causes inconveniences to the students as most times they carry them to any place they go within school in order to access some documents within such as course registration form. This process is faced with lots of inconveniences which is faced by both the student and the screening officer, hence there is need to automate the manual process of carrying out screening process for better efficiency,

1.3 STATEMENTS OF PROBLEM:

The major problem of the existing system is the increased delay in attending to students and the stress endured by the screening officers and students mostly in the process of gettinga registration number. In addition the following problems can be found in the current manual system, they include;

1. Discrepancy in assigning of registration numbers
2. The existing system creates room for sentiment in choice of whom to screen

• Lack of time response in screening process

1. Misplacement of student’s records.
2. Wastage of financial resources on the students as they keep coming back if not attending on their first or second day of appearance.
3. Fatigue encountered by the officers in trying to attend to the crowed students and students as well after standing all day in a long queue trying to get registered.

1.4 AIMS/OBJECTIVES OF THE STUDY:

The aim of the study is to design a well-structured online screening and registration number processing system that will reduce the stress associated with the current mode of getting registration number and in achieving this aim, the following objectives will be met through the design of a system that will:

1. Provide a real time response in the screening process
2. Ensure first in first out in the screening process and allocation of registration number.

• Eliminate the choice of whom of whom to screen through a stack filing system,

1. Reduce the stress staff faces in directing the student through registration process and met other problems encountered in manual system.

1.5 SIGNIFICANCE OF THE STUDY

After this system is designed, it will help the client which is Federal Polytechnic Nekde Owerri, Imo State and other similar institutions solve most of the problems associated with the screening of new students and the assignment of registration numbers by computerizing the process and running the application online. Similarly, this work will serve as a reference material for subsequent researchers in this area or any related area. Besides, it solves the problem of the need for much man-power and exorbitant paper work.

• SCOPE OF STUDY

The screening exercise involves so many processing which includes submission of preliminary documents, medical fitness screening, school fees and other fees payment etc. However, this system would be designed to handle only the uploading and submission of student documents, receipts and certificates. Would enable the screening officer verify this data and the registration number is automatically assigned.

• LIMITATIONS OF THE STUDY

In the course of the project work, certain constraints restrained the researcher from expanding the scope and they include;

Tight Academic schedule: The researcher was torn between attending lectures and practical’s and embarking on the research work. Supervisor meetings also coincided with academic work and so reduced the speed of accomplishing set out tasks.

Inadequate information from case study: The researcher was required to visit the place of case study in order to obtain information and validate software requirements but the response received from the screening officers was not totally helpful as they always complained of busy schedules.

Certificate Validation Constraint: The researcher was unable to gain access to the servers of educational bodies such as WAEC and JAMB in order to validate uploaded certificates of students.

1.8 DEFINITION OF TECHNICAL TERMS

Adverse: Preventing success or development; harmful; unfavorable.

Asymmetric: Having two sides or halves that are not the same.

Constraint: A limitation or restriction.

Criteria: A principle or standard by which something may be judged or decided.

Deterrent: A thing that discourages or is intended to discourage someone from doing something.

Fatigue: Weakness in metal or other materials caused by repeated variations of stress.

Population: All the inhabitants of a particular place.

Rebuff: This is the act of rejecting (someone or something) in an abrupt or ungracious manner.

Registration Number: The series of letters and figures identifying an item.

Rigorous: Extremely thorough and careful.

Screening: Screening involves making informed selection from a large population to ensure that only candidates who meet a predefined criterion are allowed to continue a process.

Unique: Being the only one of its kind; unlike anything else.
