CHAPTER ONE

INTRODUCTION

• Introduction

Nowadays, there are online car reservations which give much benefit to user. A rental service is a service in which customers arrive to request the hire of a rental unit. It is more convenient than carrying the cost of owning and maintaining the unit. A car rental or car hire agency is a company that rents automobiles for short period of time for a fee whether in a few hours or a few days or week. It is an extended form of a rental shop, often organized with numerous local branches (which allow a user to return a vehicle to a different location), and primarily ‘located near airports or busy city areas and often complemented by a website allowing online reservations. Car rental agencies primarily serve people who have a car that is temporarily out Of reach or out of service, for example travelers who are out of town or owners of damaged or destroyed vehicles who are awaiting repair or insurance compensation. Because of the variety of sizes of their vehicles, car rental agencies may also serve the self-moving industry needs, by renting vans or trucks, and in certain markets other types of vehicles such as motorcycles or scooters may also be offered (Thakur, 2020).

The world has become a place where there is a lot of technological development; where every single thing did physically has been transformed into a computerized form. Nowadays, peoples activities have been transformed into work done by computerized systems. One of which is the main target of this project which is about Car Rental System. The system of renting cars exists back in the previous years, where people rent cars for their personal reasons. Car renting is essential to many people’s plan to travel or move from one place to another for business purposes, tour, and visit or holidays, for these reasons Car, renting is very helpful.

The starting point of Car renting is really unknown as said by Thomas (2019); he also mentioned that many believe that Joe Saunders was the first man to start a Car renting company. According to Thomas Pretty(2010), charges were calculated with the help of mileage tracking device. Many people became interested in the Car rental business and hence got involved. Car renting became more popular as years pass-by. Today, Car renting services is found all over the world, especially in developed and developing countries. To make this service more popular and accessible to the public, it has been transformed into a web-based system and connected to the internet where everyone can be able to have access to it.

The system is equipped to answer Customer’s inquiries about the availability and rental fee of various “types” of cars for certain dates in the future. When the customer makes a decision about the “Type” of car and the Dates, the system reserves or earmark the requested type of car for requested dates. The customer is given a “Confirmation Number”. The system processes a car pick up. A customer walks in and supplies either the confirmation number, or name. The system pulls up all the reservation information about this customer.

• Background of the Study

Car Rentals provide vehicles and other automobiles for hire at a fee, normally charged either on an hourly or a daily basis. Because of the convenience of moving around with a car, car rental business is booming and also there is increased demand for vehicles for hire. For those individuals that own a car, they may use car rental services when their car breaks down or waiting for insurance clearance whereas for those that do not own a car, they may need to use a hired car to get to their destinations rather than using public transport. On occasions like wedding, vacation, house shifting, and tour outside the state and on many other situations people feel the necessity of a vehicle to sort out the problems.

Owing to all the stress involved in the manual method of car renting, there arises the need to design and develop a web-based application for availing transport whenever and wherever possible. This will be beneficial for both renter and transport provider. Now a days, by some clicks only, we can get whatever you want at home. We already know about the online shopping, e-banking etc. Similarly, The Car Rental System is the online facility to book cars online within few clicks only. Some people cannot afford to have a car, for those people this system becomes very helpful. This system includes various cars, as per the customer order and comfort. Once you place the order from the website, the car is delivered to your desired location within the area. For this reason, car hire business is growing, most car rental businesses now have multiple outlets in various cities, and hence the need to have a well-designed and intuitive system that car-hire companies can use to manage staff, vehicles, drivers, and customers (Osman, 2020). This project entails a car hire system that can be used by small, medium, or large car hire organizations.

1.2               Statement of the Problems

1. The form is being printed and then issued to the prospective car hirer to fill. These forms will be collected and kept in car hire record files. As such, there is a lot of paper wastage.
2. And if a particular form is to be retrieved, on need to go through all the forms in the file in other to locate the needed form which is time consuming.

• It leads to loss of vital document since the record keeping is manual.

1.3     Aim and Objectives of the Study

The aim of this research work is to develop an automated car hire information record management system, for AKTC, Ikot Ekpene.

It has the following objectives:

1. To develop effective cars hire information record management system.
2. To have an effective database of people that applied hire car.

• To provide effective service delivery to the car hirer.

• Significance of the Study

This research work is significance in the following ways:

1. It will educate the public on application of computer in car hiring.
2. It will reveal the necessity of implementing a computerized database for car hiring.
3. It will serve as a management information system as it will aid easy retrieval of care hire reports
4. Finally, the work will serve as a reliable source of reference material for researchers seeking related information.

• Scope of the Study

This research project is to develop an automated car hire information record management system using AKTC, Ikot Ekpene as case study.

• Organization of the Research

This research project is organized in the following order:

Chapter one focuses on the introduction, background of the study, statement of the problems, aim and objectives of the study, significance of the study, scope of the study, organization of the research and the definition of terms. Chapter two considers the literature review. Chapter three is concerned with the research methodology, system analysis and design with emphasis on input layout, algorithm and program flowchart and output layout. Chapter four examines system implementation and documentation which further discuses system design diagram, choice of programming language, analysis of modules, etc. Chapter five focuses on the constraints of the study, summary, conclusion and recommendation.

• Definition of terms

Hire: To obtain a service in return for a fixed payment.

Car Hire: Giving out a car for hire for a specified period of time and agreed amount.

Automation: a system in which a workplace or process has been converted to one that replaces or minimizes human labor with mechanical or electronic equipment.
